How to Coordinate Your Office Christmas Party

First designate an event planner or you can put together a staff Christmas Party Committee. The event planner or committee will determine a budget for the event and find out how many employees will be in attendance.

Small companies on a small budget may decide to hold the Christmas party in the office and simply Edwards Scott House will keep your costs to a minumum

take time out of the day to exchange gifts and have lunch and refreshments catered for its employees. While a large organization may decide to have a formal gathering at a banquet hall and not only invite employees to attend, but extend invitations to vendors and clients.

The committee will be responsible for selecting and purchasing invitations to send out to the clients and vendors. The invitations should have a contact number so that those invited can RSVP their attendance.

The invitation should also provide a deadline date for accepting RSVP’s. Please note on the invitation whether or not the event will be formal or casual.

Make a note as to whether or not employees can bring their significant others or spouses to the gathering.

Determine what types of activities will take place and what kind of food will be served. Will there be a live band or performance? Will there be a Disc Jockey (DJ).
Be sure to choose bands and DJ’s that are versatile and play music of all types. Choose a banquet hall that has a large enough dance area and chairs and tables to accommodate all in attendance. It is best to have a buffet style dinner with a variety of food selections to choose from.

Designate a decorating committee who will choose a theme and colors for each table. Put together a seating chart, procure token gifts to be given to employees and clients. Determine whether or not alcoholic beverages will be served. Will attendees be responsible for paying for their own drinks or will the company have an open drink bar?

Choose host and hostesses to assist party guest to their tables. Plan a party agenda to be distributed to all guests and designate a time for the CEO or Executive.

Director to speak and thank all of their employees, vendors and clients for a great year and wish everyone happy holidays.

Designate a clean up committee to stay after the event and clean up. Determine if there will be designated drivers if alcohol is being served. If designated drivers are not available make sure to inform all party guests to drink responsibly.
